1. Introduction

These Terms and Conditions apply to all photography services and digital products provided by Carley Aplin.

By booking a session, purchasing a product, or engaging with any of my services, you agree to the terms outlined below.

3. Services Provided

Services offered include but are not limited to:

Family photography | Newborn photography | Maternity photography | Studio sessions | Outdoor sessions | At-home sessions | Weddings | Commercial and branding photography | Mentoring and education | Presets and digital downloads | Workshops and retreats | Gift vouchers

4. Booking and Payment

A booking is not confirmed until the session fee deposit has been received.

Photography sessions

A £100 non-refundable session fee is required at the time of booking for most sessions. For weddings this is £350.

The remaining balance is due no later than seven days before the session date or family Photography, and brand Photography and four weeks before your wedding date for your wedding photograph

Accepted payment methods

Online card payments via Stripe, Bank transfer

Failure to pay the remaining balance by the due date may result in cancellation of the booking.

5. Cancellations and Rescheduling

Client cancellations

  • Deposits are non-refundable
  • If a client cancels without sufficient notice, all monies paid are forfeited
  • Minimum notice required:
  • Weddings: 28 days
  • Family and portrait sessions: 7 days

Where adequate notice is given, session fees may be transferred to a new date at the photographer’s discretion.

Photographer cancellations

In the unlikely event that I must cancel due to illness, extreme weather, or circumstances beyond my control, an alternative date will be offered where possible.

No liability is accepted for costs incurred beyond payments made directly to Carley Aplin.

6. Force Majeure

Neither party shall be liable for failure to perform obligations due to circumstances beyond reasonable control, including but not limited to:

Illness or injury Extreme weather conditions, Travel disruption , Government restrictions, National emergencies In such cases, fees may be transferred to a future date.

7. Image Delivery

Preview images are delivered within approximately seven days of the session. Final galleries are delivered within four weeks from preview selection Images are delivered digitally via an online gallery. Prints and albums are available to purchase separately.

8. Online Galleries

Galleries remain live for seven days to allow image selection Clients are responsible for downloading purchased files within this period Gallery reactivation may incur an additional fee

9. Copyright and Usage

All images remain the copyright of Carley Aplin.

Clients receive a personal usage licence for:

  • Personal printing, Personal social media sharing
  • The following are not permitted without written consent:
  • Commercial use, Sale or redistribution image alteration or application of filters
  • Branding and commercial photography
  • Branding clients may use images for:
  • Website use, Social media, Marketing materials, Printed promotion
  • Copyright remains with the photographer unless otherwise agreed in writing.


10. Image Use and Portfolio

Permission may be requested to use images for:

Website | Social media | Portfolio

Marketing materials

Clients may opt out of image usage at any time by notifying the photographer by any means necessary.

11. Digital Products

Digital products include presets, downloads, and educational materials. All digital products are non-refundable. Products must not be shared, resold, or redistributed. Purchases grant a single-user licence only

12. Mentoring, Workshops and Retreats

  • Mentoring sessions are non-refundable
  • Workshop and retreat tickets are non-refundable
  • Tickets may be transferred where attendance is prevented due to illness or rescheduling caused by weather or force majeure
  • Travel and accommodation costs remain the responsibility of the attendee.

13. Gift Vouchers

Gift vouchers are non-refundable

Vouchers must be used before the stated expiry date

Expired vouchers cannot be extended unless agreed in writing

14. Liability

Every reasonable effort is made to deliver services to a high standard and backup equipment is used wherever possible.

Liability is limited to the total amount paid by the client. No responsibility is accepted for indirect or consequential losses.

15. Data Protection and GDPR

Personal data is collected solely for the purpose of providing photography services.

  • This may include:
  • Names
  • Contact information
  • Booking details

Data is never sold or shared with third parties, except where required for essential business operations such as payment processing or gallery hosting.

Clients have the right to request access to, correction of, or deletion of their personal data at any time.

16. Changes to These Terms

These Terms and Conditions may be updated periodically. The version in place at the time of booking will apply.

17. Governing Law

These Terms and Conditions are governed by the laws of England and Wales.
